Dispensing & Orders
In the ‘ORASIS Walkthrough’ the prescription has been entered by the optometrist in the consulting room which should result in fewer data entry errors. Once entered, the prescription details are automatically carried through onto the dispensing and ordering screen (step 3 of the ‘walkthrough’) and these details will then be printed out onto the final order.

The patients name and details of their examination and prescription have automatically been carried through into this screen, this will reduce data entry errors in ordering which means more profit and happier patients. You can type in the number of days you expect the glasses to take and tell the patient their estimated collection date. You can then track the order in outstanding orders and it will turn red if it has gone over your estimated collection date.
You can insert the dispenser, useful if there are any queries raised. On the order you must select which Lab you are sending the job to and this address and account number will print onto the order. All of the major labs have happily been receiving ORASIS order forms for over 10 years.
On the order you specify what type of dispense you are doing i.e bifocal, near vision, PPL, etc and this will select the required prescription on the order.
Once the frame has been selected and you are back on your dispensing screen – you enter each item in the form of a sale:
Professional services – enter NHS or Private eye examination
Frame: Scan the barcode off the frame, enter a code or find from stock list
Lenses:
Lens catalogues are part and parcel of the Dispensing module and you can add your own lenses as well. However, by using supplier catalogues errors are reduced. The lenses will also show the accurate availability of tints and coatings.
The Lens attributes, such as power availability, index and coating options can be stored to make dispensing easier. You can select one or more suppliers lenses to compare prices then ‘whittle’ the list down by selecting material and index until you have your final selection. A lens will not show up if it is not within a prescription range.
Useful sales notes and technical information can be stored to aid the dispensing process or highlight potential restrictions when dispensing.
Quick items is a useful list containing accessories, clip-on’s, cleaning sprays, cords, etc that can be added onto the dispensing order and finally if you have an NHS voucher to take off this can also be done very simply with the a click on ‘vouchers’ and by selecting the appropriate voucher type.
The Dispensing Data is completed in a box on the screen where you can easily see the prescription, and various tabs for you to complete for the measurements you have taken.
On completion of the dispense, you simply click on the ‘process’ button and this will link onto the sale screen (step 4 in ‘Walkthrough’). You can then take off any promotional vouchers or discounts that are on offer. A deposit or full payment can then be taken and a receipt issued.
The order is then printed off by pressing the ‘forms’ button and is completed for glazing purposes. The patient record is then sent to the outstanding orders screen via a click on the ‘process’ button to be tracked during its glazing, checking and informing stages.
